In short: each organisation's records live in its own separate database. We use personal information only to run the Service, we don't sell it, and we share it only with the providers needed to send messages, take payments and keep backups.

1. Who we are and our role

Easy Lend provides workspaces where organisations record their contribution pools and loans. For the records an organisation keeps about its own contributors and clients, that organisation decides what is recorded and why; we process that information on its behalf to provide the Service. For the details of people who request workspaces and of workspace users, we are responsible for the information ourselves. We follow the Data Protection Act, 2012 (Act 843) of Ghana.

2. What we collect

  • Workspace requests: organisation name, chosen workspace address, the requester's name, email, optional phone number and the plan they are interested in, plus the IP address the request came from (to prevent abuse).
  • Workspace users: name, email, role, a securely hashed password (never the password itself), and sign-in sessions.
  • Records your organisation enters: contributors' and clients' names, phone numbers and other details, contributions, loans, payments, receipts, contracts and uploaded documents (such as signed contracts and expense receipts), expenses, and an audit log of who changed what.
  • Messages: the WhatsApp and email notifications sent from a workspace and their delivery status. When a workspace links WhatsApp, the session needed to send from its number is stored with that workspace.
  • Billing: plan, payment amounts, dates and references. Card and mobile money details are entered with our payment provider and never reach us.
  • Technical: server logs (such as IP addresses and errors) kept to operate and secure the Service.

3. How we use it

  • to provide the Service: keeping records, calculating balances, producing receipts, contracts and reports, and sending the messages a workspace sets up;
  • to review workspace requests, run accounts, and send service emails such as welcome messages, renewal reminders and notices of price changes;
  • to take subscription payments and keep billing records;
  • to keep the Service secure, prevent abuse, back data up, and fix problems.

We do not sell personal information, and we do not use it for advertising.

4. Who we share it with

Only with the providers that make the Service work, and only what each one needs:

  • Paystack, to take subscription payments;
  • WhatsApp, to deliver the messages a workspace sends from its own linked number (see section 5);
  • email providers, to deliver emails;
  • Google Cloud Storage, where daily backups (and, if the workspace uses it, uploaded files) are stored;
  • our hosting provider, which runs the servers.

We may also disclose information when the law requires it.

5. WhatsApp

WhatsApp messages are not sent through Meta's official WhatsApp Business Platform. A workspace links its own phone's WhatsApp as a linked device using Baileys, an open-source library, and messages are sent from that number, as the workspace, not from a Easy Lend business account.

We have no access to your WhatsApp chats or messages. The Service only sends the receipts and reminders a workspace sets up; it does not read, download or store chats, contacts or incoming messages, and chat history sync is switched off. What we keep is the link credentials needed to send (stored with that workspace and deleted when it unlinks) and a log of the messages the workspace sent, with their delivery status.

6. How it is kept

Every workspace has its own database and its own file storage, and people can only sign in to the workspaces they have been given access to. Platform administrators can access workspaces to provide support and run the Service. Data is backed up daily. No system is perfectly secure, so we cannot guarantee absolute security, but we take reasonable steps to protect your information.

7. How long we keep it

We keep a workspace's records for as long as the workspace exists, including while it is read-only, so your history is not lost. Financial records are kept append-only for audit purposes. When a workspace is closed, its organisation can ask us to delete its data; copies in backups expire over time. Billing records are kept as long as needed for accounting and legal purposes.

8. Your rights

You may ask to see the personal information held about you, to have it corrected, or to have it deleted where the law allows. If your information was recorded by an organisation using Easy Lend (for example, as a contributor or client), please contact that organisation first: it controls those records. We will help it respond. You may also complain to the Data Protection Commission of Ghana.

9. Cookies

We use only the cookies needed to keep you signed in, and your browser stores your light or dark theme choice. We do not use advertising or tracking cookies.

10. Changes and contact

We may update this policy. The date at the top shows when it last changed, and material changes are announced to existing workspaces.

Questions about these terms or your data: email billing@easylend.gybsfam.org, or reply to any email we send you.
